Description
We are seeking a highly organized and detail-focused Document Controller Coordinator to develop, implement, and maintain robust document control systems in line with company standards and project or operational requirements. You will play a key role in managing the lifecycle of technical and non-technical documentation to support smooth operations across departments and ensure compliance with quality and regulatory standards.
Main Responsibilities
- Develop, implement and maintain document control procedures and systems in compliance with company standards and project/operation requirements.
- Ensure As-Built drawings are received from engineering and construction teams, checked and approved.
- Manage and oversee all technical and non-technical documentation for operations, engineering and HSE.
- Ensure proper classification, indexing and archiving of engineering drawings, P&IDs, datasheets, equipment manuals and vendor documents.
- Coordinate document flow between departments (Operations, Engineering, Maintenance, HSE) and external stakeholders (vendors, contractors, regulatory bodies).
- Track document revisions and ensure timely updates of plant-related documents during project phases (construction, commissioning, operation, shutdowns).
- Maintain EDMS (Electronic Document Management System) for both project and operation documentation, ensuring version control and traceability.
- Support audits, inspections and compliance reviews by providing accurate and up-to-date documentation.
- Conduct regular document reviews to ensure compliance with internal quality standards and external regulatory requirements.
- Provide training and support to operation personnel on document control procedures and system usage
- Prepare and maintain Final Documentation/As Built Dossier (Project Handover Package)
Position Requirements
- A minimum of Diploma or Bachelor’s Degree in Business Administration, Information Management, Engineering, or related field.
- Minimum of 3–5 years of experience in document control or administrative coordination, preferably within engineering, construction or oil & gas industries.
- Strong technical understanding of engineering documentation/drawings such as P&IDs, loop diagrams, equipment datasheets, and vendor technical files.

- Excellent financial and business analysis skills and understanding in contract negotiations;
- Strong sense of responsibility and accountability with positive working attitude;
- Must be well organized, work independently & have the ability to multi-task, lead and work in teams;
- Must be able to work well under pressure to meet strict deadlines;
- Good command of spoken and written Malay and English languages.
