Description
We are seeking a professional and reliable Executive Assistant to the Chief Executive Officer (CEO) to provide comprehensive administrative, secretarial, and personal support to the CEO. This role is responsible for managing the CEO’s daily schedule, coordinating meetings and engagements, handling correspondence, and supporting effective communication with internal and external stakeholders. The Executive Assistant will also manage confidential matters, assist with executive documentation and briefings, and ensure the smooth operation of the Executive Office, enabling the CEO to focus on strategic and leadership responsibilities.
Main Responsibilities
- The Executive Assistant should provide high-level administrative and secretarial support to the Chief Executive Officer (CEO) by managing schedules, correspondence, meetings and confidential matters while also acting as a personal assistant to ensure smooth day-to-day operations and effective executive coordination.
- To manage and coordinate the CEO’s schedule, meetings, travel arrangements and appointments.
- To act as the point of contact between the CEO and internal/external stakeholders with professionalism and confidentiality.
- To screen calls, emails and visitors; manage effective communication flow to and from the CEO’s office.
- To coordinate and maintain records, reports and filing systems within the Executive Office.
- Assist in drafting communication, speeches or briefs for internal and external engagements of the CEO.
- To organize, prepare agenda, take minutes and follow up on actions for meetings chaired by the CEO.
- To coordinate internal and external engagements involving the CEO, including board meetings, corporate events, and townhalls.
- To ensure smooth execution of events and engagements involving the Executive Office.
- Handle sensitive and confidential matters with utmost professionalism and integrity.
- To uphold the privacy and confidentiality of executive-level communications and documents.
- To exercise sound judgment in managing sensitive information and situations.
- Adhere to the Health, Safety, Security & Environment (HSSE) culture across the company.
Position Requirements
- Minimum Diploma/HND in Office Administration, Business Administration, or related discipline. A Bachelor’s Degree is an advantage.
- Minimum 5 years of experience providing high-level executive support, preferably in a corporate or government setting.
- Experience handling confidential information and working directly with senior executives.
- Excellent communication, interpersonal, and organisational skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong time management, prioritisation, and multitasking abilities.
- Professional demeanor and ability to maintain confidentiality at all times.
- Attention to detail and ability to work independently under pressure.

- Strong sense of responsibility and accountability with positive working attitude;
- Must be well organized, work independently & have the ability to multi-task, lead and work in teams;
- Must be able to work well under pressure to meet strict deadlines;
- Good command of spoken and written Malay and English languages.
